How it is built.

How it often runs today

Invoices arrive as PDFs in a shared inbox. Someone types them in, finds the purchase order in the business software and looks up account and cost centre.

What the software does

When an invoice arrives by email, the software reads supplier, invoice number, amounts and tax and compares them with the purchase order and delivery note. It places the invoice and a ready-to-book suggestion in DATEV Unternehmen online. Your accounting team or tax adviser decides what gets booked.

Typical software

  • Outlook or another mailbox
  • DATEV Unternehmen online, through your tax adviser

What it is made of
  • Connection to the inbox

The software reads the invoice inbox, including emails with several PDFs and e-invoices in XRechnung or ZUGFeRD format.

  • Reading and checking the invoice

An AI reads the invoice. The software then checks totals, tax and IBAN against fixed rules.

  • Comparing with purchase order and delivery note

The software finds the purchase order and delivery note in your business software and flags lines that differ.

  • Handover to DATEV

We agree the route into DATEV Unternehmen online with your tax adviser, who sets up the access.

Common questions
  • Can the software read e-invoices you receive?

Yes. When e-invoices in XRechnung or ZUGFeRD format arrive in your invoice inbox, the software reads them too, as well as emails with several PDFs.

  • Does the software book invoices itself?

No. It places the invoice and the suggestion in DATEV Unternehmen online, and your tax adviser sets up that access. Your accounting team or tax adviser decides what gets booked.

  • What if we don’t use DATEV?

Then the details go to other accounting software, to your business software or into an Excel sheet.
